This policy explains what personal information Dr Tom Barrett's practice collects through this website, why we collect it, what we do with it, and your rights under the Protection of Personal Information Act, 2013 (POPIA).

The practice is the responsible party for personal information collected through this website. Dr Tom Barrett is the information officer and can be contacted at the email address above.

What we collect and why

When you send a message through the Contact form, we collect your name, email address, phone number and message. We use this only to reply to you.

When you request an appointment, we collect your first and last name, email address, phone number, preferred date and time, and any message you add. We use this only to arrange your consultation.

When you phone or email us, we receive your number or email address and what you tell us, and use it to help you.

We do not use enquiry details for marketing, and we do not sell or share them with anyone for their own purposes.

Please do not include detailed medical history in a website form. A short description of what you need help with is enough. We will take your medical history at your consultation, where it is recorded and protected as part of your patient file.

Cookies and Google Analytics

With your permission, this website uses Google Analytics to understand how visitors use it: which pages are visited, roughly where visitors are from, what device they use, and whether they get in touch (for example, tapping a phone number or sending a form). This helps us improve the site. It does not tell us who you are, and form contents are never sent to Google Analytics.

Google Analytics only runs if you click Accept on the cookie banner. If you click Decline, no analytics cookies are set. Your choice is remembered on your device, and you can change it at any time using the cookie settings link.

Who processes your information for us

• Webflow, Inc. (United States) hosts this website and receives form submissions.
• Google LLC (United States) provides our email (Gmail) and, if you accept cookies, Google Analytics.

Both are located outside South Africa. We use them on the basis of their contractual data protection commitments, as section 72 of POPIA allows.

How long we keep it

We keep website enquiries and appointment requests for up to 24 months after our last contact with you, then delete them. If you become a patient, your information becomes part of your patient file and is kept for the periods required by health legislation and the HPCSA.

Google Analytics data is kept for 14 months.

How we protect it

This website is served over an encrypted connection (HTTPS). Form submissions and email can only be accessed by the practice through password-protected accounts.

Your rights

Under POPIA you may:

• ask whether we hold personal information about you, and for a copy of it;
• ask us to correct or delete it;
• object to how we use it;
• withdraw your consent to analytics cookies at any time.

Send your request to the information officer at tombarrett.orthosurgeon@gmail.com. We will confirm your identity before acting and respond within 30 days.

If you are unhappy with how we have handled your information, you may complain to the Information Regulator through its website, inforegulator.org.za.

Changes to this policy

We will update this page if what we collect or how we use it changes. The date at the top shows when it last changed.
